Reporting to CEO, based in Portugal, London or other EU countries

Involves travelling globally, regularly and at short notice.

£120k-£150k + expenses + accommodation (if based in Portugal)

A HUGE role for an experienced Travelling Chief of Staff with permanent accommodation and a car provided if in Portugal (on top of the salary).

Reporting to the CEO of several companies – preferably you’ll be happy to live in Portugal (but London or other EU countries also considered).  This is about the right person for the job, and location to be determined. It’s not your traditional 9-5pm role and there’s an abundance of travel involved so hours can be sporadic sometimes.

The CEO lives between London and Faro, Portugal and heads an organisation consisting of several businesses in the media and marketing industry, as well as major projects (the automotive/health & wellness spaces), he is also an angel investor and has invested into multiple businesses.

We’re seeking an exceptional Chief of Staff / Senior Executive Assistant to partner with a high-profile CEO and associated businesses. This senior role is for a strategic, proactive, and highly discreet professional who can manage the complexities of both corporate and private life. You’ll act as a trusted right-hand, ensuring the CEO’s professional, personal, and family priorities run seamlessly.

You are an accomplished Senior Executive Assistant or Chief of Staff with experience supporting UHNWIs, managing intricate business and family diaries, and coordinating across multiple teams and stakeholders. You operate with absolute discretion, exceptional judgment, and a solutions-focused mindset. Comfortable travelling and attending high-profile events, you anticipate needs, make decisions independently, and excel under pressure.

Key Responsibilities

  • Serve as the primary point of contact and gatekeeper across multiple companies, private offices, and external partners.
  • Manage complex business, family, and private diaries, ensuring precision, confidentiality, and foresight.
  • Prioritising urgent matters and acting decisively on behalf of the CEO.
  • Travel with the CEO and travel team, ensuring seamless execution of itineraries.
  • Conduct industry-specific research, prepare briefing notes, and compile reports to inform decisions.
  • Create budgets, monitor spend, and assist with financial forecasting.
  • Oversee and manage cross-functional projects, including marketing and operational initiatives.
  • Plan, organise, and attend large-scale events featuring VIPs and high-profile guests.
  • Prepare for, attend, and occasionally represent the CEO in meetings.
  • Handle sensitive personal tasks, including gifting, private shopping, household coordination, and family-related arrangements.
  • Maintain the highest level of discretion, professionalism, and confidentiality at all times.

What you’ll need:

  • A min of 4-6 years ‘experience as Chief of Staff, executive assistant or in a senior management role in business
  • Must be legal to work in the UK/EU (visas will be obtained if required)
  • Clean driver’s license
  • Fluency in English essential/ other European languages a benefit (Portuguese/Spanish/ Dutch/ German) and/ or Mandarin
  • Strong IT skills in MS & Apple, Excel and Word
  • Strong financial skills
  • Experienced in Photoshop/ Illustrator/ Canva and in managing social media
  • Experienced in dealing with press media is an advantage (incl. TV appearances)
  • Any business acumen is welcome including experience in writing business plans/ proposals/ presentations

 

This role requires someone exceptional, calm under pressure, and capable of orchestrating both business and personal priorities at the highest level.

The role could be solely (and ideally) based in Portugal including Portuguese payroll and an apartment provided (so let us know if you would consider relocation to Portugal) or it could be London/UK based (with UK payroll) but no accommodation.

Hours: Mon – Fri 9am- 6pm remotely, 24/7 when travelling due to different time zones. For extra days worked, time in lieu is given (some bank holidays may need to be worked).

  • Allowances provided for sustenance and outfits.
  • Apple laptop and phones provided.
  • If UK based a company pension scheme is included.
