Operations & Warehouse Coordinator – events industry

We’re working with a small, friendly business who have a newly created role for an Operations & Warehouse Coordinator to bring structure, consistency and calm to daily operations. Based near Bath.

This is a blended role, part logistics coordinator, part hands-on warehouse lead – designed to strengthen standards and keep delivery running smoothly.

You’ll work closely with the Director to reduce day-to-day operational pressure, improve planning visibility and ensure the warehouse runs like clockwork.

The role

This isn’t a desk-only operations job. Nor is it purely warehouse-based.

It’s ideal for someone who enjoys switching between coordination and practical execution, someone who spots gaps before they become problems and takes pride in doing things properly.

Operational coordination

  • Plan and coordinate vans, couriers and transport
  • Confirm site access, loading requirements and delivery windows
  • Prepare and distribute detailed job packs
  • Maintain the master planning calendar
  • Support weekly planning meetings
  • Keep documentation accurate and up to date

Warehouse operations (hands-on)

  • Load and unload vans for installations and hires
  • Pick and prep equipment against job sheets
  • Oversee returns and ensure equipment is checked back in correctly
  • Identify damaged or missing items and escalate appropriately
  • Maintain an organised, logical warehouse layout

Standards, compliance & fleet

  • Conduct and record PAT testing (training available if needed)
  • Maintain equipment logs and safety records
  • Uphold safe working practices across the warehouse
  • Carry out basic vehicle checks
  • Coordinate MOTs, servicing and fleet admin

Crew & process support

  • Maintain freelancer availability lists
  • Issue job briefs and support crew bookings
  • Assist with welfare and logistics planning
  • Implement simple checklists and SOPs
  • Flag risks and bottlenecks early
  • Provide weekly operational updates to the Director

About you

  • Highly organised with previous administration/coordination experience – and enjoy a job that is not entirely desk bound.
  • Practical and happy with manual work – i.e. climbing up ladders and lifting equipment when required
  • Comfortable with spreadsheets and shared drives
  • Experience in events, production, logistics or hire would be brilliant!
  • Warehouse experience is highly desirable.
  • PAT testing certification or a forklift licence would be a bonus, but willingness to learn is just as important.
  • Confident juggling multiple moving parts
  • Calm under seasonal pressure
